Position Summary

Under the supervision of the Senior Administrator, the Data Entry Specialist (DES) performs accurate data entry of client data into the HMIS program, into guest data spreadsheets, and into various agency spreadsheets as directed. Data Entry Specialist compares data with case files and verifies the accuracy of data before it’s entered, completes reports as requested, works with HMIS administer to develop specialized reports, attends HMIS trainings and reports technical issues to HMIS administrator.


  1. Checks data from completed forms or other documents for accuracy and completeness and enters into database.
  2. Reviews audit reports and resolves errors to ensure integrity of data.
  3. Identifies problems with database management policies and procedures and provides input into their revision.
  4. Provides direction or assistance to users of information regarding data requirements and status of paperwork.
  5. May train other data entry or HMIS user employees.
  6. Assist in distributing reports.
  7. Sorts and files paperwork.
  8. Performs related data entry responsibilities as required.

Education and Experience

A high school diploma or equivalent. One year of data entry experience. Must have the ability to keyboard or type 45 accurate words per minute; knowledge of Microsoft Office and Excel; excellent interpersonal and organizational skills: possess a valid California Drivers License.

Physical Requirements
